You are a passionate, service-oriented Upper Elementary School / Athletics Administrative Assistant with a high school diploma or equivalent; associate's degree or higher is a plus. You have experience in an administrative or office support position. You are proficient with  Google Suite, PowerSchool, and other required IT software programs and have extensive experience using Macbooks. You have a friendly and approachable demeanor with the ability to interact effectively with students, staff, parents and coaches, who have a variety of cultural backgrounds. You have the ability to work independently with minimal supervision and as well as collaboratively in a team environment. Administrative and clerical procedures are second nature to you, and your excellent organizational, time management and strong communication skills are your pride and joy. To top it all off your “can-do” attitude and strong problem solving skills make you a confident partner of the Elementary School and Athletics Office.

In addition you:

  • Are a partner with the ECC Administrative Assistant to manage the day-to-day operations and support of the Elementary School offices and the Athletics Office.
  • Maintain a positive and professional attitude in all interactions with staff, parents, students, coaches and visitors.
  • Demonstrate a proactive approach to problem-solving and anticipate the needs of the Principal and Athletics Director and faculty.
  • Display strong interpersonal skills and effective communication to build positive relationships within the school community.
  • Exercise confidentiality and discretion when handling sensitive information.
  • Ability to handle multiple tasks, prioritize assignments, and manage time effectively. Strong organizational skills are crucial for success in this role.

The Role: The role is supervised by the Elementary School Principal and Athletics Director and you’ll collaborate with faculty, staff, students, parents and coaches. As part of the 60-strong Elementary School faculty, you will be working with our Upper Elementary students, in Grades 3 to 4. You’ll have the chance to work alongside a dedicated team of teachers and specialists to help enhance the teaching and learning experience of these young students, from outside of the classroom.

The Work: As an Upper Elementary School / Athletics Assistant, your daily activities involve greeting and assisting all visitors, faculty, staff, students, parents and coaches. You will answer phone calls and emails in a professional manner, and ensure these reach the right people. You collect, process and maintain student records. In liaison with the PowerSchool Administrator, you manage elements of PowerSchool concerning student attendance, enrollment and reports. You use Google Suite to create, edit, and format documents, reports, and spreadsheets.You will assist in organizing parent/teacher conferences through the management system and in the process of enrolling new students. You assist the Elementary School Principal and Athletics Director with administrative duties, including scheduling appointments, managing calendars, coordinating meetings, and making travel arrangements, and support the planning and execution of athletic events, such as competitions, tournaments, and team meetings. This includes coordinating logistics, preparing necessary materials, and providing on-site assistance as needed. You will provide administrative support to student-athletes, including assisting with registration. Other duties include assisting in the development of the principal’s weekly faculty and parent letters and assisting in the coordination of faculty meetings, workshops, and professional development sessions. You will compile and organize data, reports, and records for the principal's review.
You will assist with special projects and events and other duties as assigned by the Principal and Athletics Director. Altogether you will be the first point of contact for many people who come into the office, ensuring any questions or concerns find their way to the most appropriate person.
